Reports To:
CEO

Primary Objective

Protect the CEO’s time, focus, and decision-making quality by ensuring clarity, preparation, and flawless execution across all priorities and ventures.
(This is not a clerical/secretary role. This is a strategic execution partner role.)


Core Ownership

  • CEO’s time, priorities, and follow-through

  • Cross-venture coordination and communication

  • Decision tracking, accountability, and execution discipline


Key Responsibilities

  • Manage the CEO’s calendar, meetings, communication, and priority flow

  • Prepare meeting agendas, pre-reads, briefs, and post-meeting summaries

  • Track all decisions, action points, and deadlines across teams

  • Follow up relentlessly with stakeholders until tasks reach closure

  • Maintain master dashboards, trackers, and performance reports

  • Coordinate between FitFormance and all associated ventures

  • Filter noise, shield CEO bandwidth, and escalate only high-value items


Non-Negotiables

  • No missed follow-ups on CEO decisions

  • No meetings without preparation or pre-reads

  • No passive note-taking—every note must convert into trackable actions


KPIs (Key Metrics)

  • Percentage of action items closed on time

  • Decision-to-execution cycle time

  • Reduction in CEO context switching and operational friction


Authority Level

Can:

  • Follow up and chase any team member on behalf of the CEO

Cannot:

  • Make strategic or business decisions independently
