Job Description:

Job Purpose

Responsible for managing the complete scope of HR, Industrial Relations (IR), and Administration activities at the corporate office, other office premises, and factory. The role will handle recruitment, employee lifecycle management, HR operations, statutory compliance, payroll coordination, employee relations, facility administration, and general administrative functions.

Key Responsibilities

Recruitment & Talent Acquisition

  • Manage recruitment activities through Naukri, Indeed, LinkedIn, and other job portals.
  • Screen and shortlist candidate resumes.
  • Coordinate interviews with candidates and department heads.
  • Manage the complete employee joining process.
  • Issue Offer Letters, Appointment Letters, Increment Letters, Promotion Letters, Termination Letters, Show Cause Notices, and Relieving Letters.
  • Confirm Date of Joining (DOJ).
  • Coordinate induction and onboarding training for new employees.
  • Arrange required resources such as computer, stationery, email ID, mobile phone, internet access, and other employee requirements.
  • Provide company policy manuals and appointment documentation.

HR Operations & Employee Management

  • Monitor daily employee attendance.
  • Manage HRMS and ERP software for HR-related requirements.
  • Recruit, train, and allocate responsibilities to new employees.
  • Maintain employee records and personnel-related data.
  • Prepare and maintain reports related to new hires, transfers, performance appraisals, absenteeism, and employee data.
  • Handle employee grievances and coordinate with Department Heads for timely resolution.
  • Ensure timely administration of employee wages, salaries, and benefits.
  • Manage Time Office, Leave Management, and Salary Administration.
  • Assist Management and Department Heads with KRA/KPI-based performance evaluations.

Statutory Compliance & Labour Laws

  • Provide HR generalist support and ensure compliance with applicable regulatory requirements.
  • Maintain statutory registers and records related to PF, ESIC, and other labour law compliances.
  • Assist employees with UAN generation, ESIC registration, and PF withdrawal.
  • Maintain contractor records and statutory documentation, including:
    • Contract documents / Work Orders
    • PF Code
    • ESIC Registration
    • EC Policy, where applicable
    • Contractor Details
    • PF Challans
    • Half-yearly and yearly returns
    • Letters issued to contractors
    • Letters received from contractors
    • Show Cause Notices

Full & Final Settlement

  • Prepare and process Full & Final Settlement (F&F).
  • Coordinate clearance processes and ensure timely completion.

Administration & Facility Management

  • Manage facility administration and housekeeping activities across the office and factory.
  • Ensure workplace cleanliness, hygiene, and availability of basic resources.
  • Manage stationery, machinery, furniture, fixtures, and other office facilities.
  • Coordinate general repairs and maintenance for office and factory premises.
  • Manage vendors providing employee facilities such as:
    • Workplace hygiene and cleanliness
    • Food services, if applicable
    • Transportation services
    • Other general employee facilities
  • Monitor and improve office security services.
  • Ensure company assets and property are properly protected.
  • Issue employee ID cards.
  • Monitor factory supplies inventory and purchase office materials within budgetary constraints.
  • Tag company assets and maintain the Asset Register.
  • Oversee facility services and maintenance activities.
  • Ensure administrative operations comply with company policies and regulations.

Vendor & Contractor Management

  • Coordinate with vendors for general employee facilities and administrative services.
  • Maintain complete contractor documentation and compliance records.
  • Monitor vendor and contractor-related activities and documentation.

Travel & General Administration

  • Assist the Service Team with ticket booking as and when required.
  • Monitor employee-related service department costs and expenses.
  • Assist in budget preparation for HR and administrative operations.
  • Perform additional HR and administrative responsibilities as assigned by Management.

Education

Graduate: Any Discipline
Preferred: PG / MBA in HR

Experience

  • 2–3 years of relevant experience
  • Experience in Manufacturing Industry preferred.
  • Preferred profile: HR/Admin professional with manufacturing industry experience.
